General Event Questions

What is the Smart Event agenda?
The Grand Opening session takes place on September 23 Morning. The opening session is common to the 3 co-located conferences: e-Smart, Smart Mobility, World e-ID. The 3 conferences end on September 25 at noon.
The Smart University educational program starts on September 22 and ends on September 25 Afternoon.

Where can I find the event sessions description?

Each conference that goes into the Smart Event proposes its own program. By visiting the Program section of the Smart Event’09 website, you will find a description of each program.

Will presentations be available at the event?
There are proceedings for each conference of the Smart Event’09. These proceedings will be web available at the opening of the event. Each delegate will receive the pass word for the proceedings of the conference he has registered in. A flyer with the appropriate pass word will be incorporated in the delegates’bag. These web proceedings will be regularly updated.

Should I buy the proceedings of the conference I have registered to?

The proceedings of the conference you are registered to are included in the conference registration fee.
If you intend to get the proceedings of the other co-located conferences, these are proposed at a preferential rate to any Smart Event delegate.

Are conference translation services available?
English is the official language. There is no translation service in any other language at this time.

When do the workshops and SIG meetings take place?

Most of the workshops and SIG meetings take place on September 22, ie the day before the opening of the conferences.

Is there an additional cost to attend the workshops and SIG meetings?
Most of them do not require an additional cost to attend. We recommend that you check the access conditions by looking carefully at each workshop and SIG meeting presentation. Anyhow, you will have to fill in the appropriate form for attending any workshop and SIG meeting. Do not hesitate to contact the organisers for help.

Will there be any areas to have impromptu meetings at the event?

You will be able to enjoy a seat and relax, check your emails, network with other delegates. Plenty of seating will be accessible to suit any need, as well as internet access and message boards to get in touch with other delegates.

Are meals included in the cost of registration?
Lunch will be provided on Tuesday Sept. 22 only for the Smart University attendees registered on the modules scheduled on that day and for those having properly registered to attend workshops and SIG meetings.
There will be no lunch on Friday, except for the Smart University attendees registered on the module(s) scheduled for all that day.

What is the event attire?

Casual to business are both appropriate.

How can I access the Exhibition & demos area?

To access the exhibition & demos area, you have to be duly registered in one conference program or in Smart University.

   

Registration questions

How do I register?
We invite to register online through our secure platform. Registration will open in April 2009.

How much does it cost to register for Smart Event?

There are various registration costs. Depending on the program of your first choice, when you register and the category you belong to.

What is included in the conference registration of your first choice?
The conference registration of your first choice includes access to its full program incorporating the Grand Opening session and its proceedings. It gives access to any session of the 2 other co-located conferences, panel discussions, coffee-breaks (Sept. 23, 24, 25) and lunch (Sept. 23, 24), Exhibition area.

When registered to 1 conference, do I have access to the co-located ones?

Yes, if you are registered to 1 conference, you do have access to the co-located ones, except to the Smart University program.

How can I get the proceedings of the other co-located conferences?
The proceedings of the other co-located conferences are proposed at discounted rates prior to, and during the event. 

As a Smart University attendee, do I have access to any of the co-located conferences?

The Smart University Full Event Package includes registration in the Smart University program plus any combination of e-Smart, Smart mobility and World e-ID.

What type of payment does your secure registration platform accept?
Payment can be done by credit card, Visa or MasterCard accepted.
Bank transfer payment is also accepted. When at the payment step; tick the appropriate box and our bank details will appear.

Will badges be posted in advance of the event?

No. Badges will not be posted out in advance of the event. You may pick up your badge at the Event Welcome Desk.

How can I benefit from the Loyalty Discount registration cost?

If you have attended the previous editions of e-Smart, Smart mobility, World e-ID and Smart University, you may benefit from the Loyalty Discount registration cost. If you attend Smart Event for first in 2009, you will benefit from the Loyalty Discount registration cost next year.

What is the cancellation policy?

Cancellation must be in writing. 20% of the registration fee will be retained for administrative expenses if cancellation is received at least 3 weeks prior to the date of the event, ie September 2, 2009. After that date, the entire registration fee is due.

If I am unable to attend, can someone take my place?
We accept substitutions. You may inform the organizers in writing by giving full details of the person who will replace you.
 
   

Exhibitor Questions

When is the Exhibition open?
The exhibition will be open on the following days:
Wednesday September 23 – 9.30am – 5.30pm
Thursday September 24 – 9.30am – 5.30pm
Friday September 25 – 9.00am – 11.30am

When can I have my booth delivered?

We provide equipped booth. We recommend that you display your own materials on Sept. 22 from 5.00 pm up to 7.00pm or on September 23 from 8.30am. For additional details, contact

Is there 1 Conference access pass included with the booth?
Yes there is 1 conference pass for your “booth man” included the exhibition package. This pass gives access to the conferences, coffee-breaks and buffet lunches.

Are there discounted conference registration fees for exhibitors?

Exhibitors can register any of their company employees for any of the 3 conferences and for Smart University at discounted registration fees.

   

PR questions

How do I obtain the press list?
Only sponsors and exhibitors may access the list which is available a couple of weeks before the event.

How do I book a press conference room?
Room must be reserved prior to the event. To know more on the facilities and rates, contact directly

Where can I display my press release or press kit?
You have the opportunity to display these documents in the virtual press room available prior to the event, or to display them at the event. Contact

   

Press questions

What are the qualifications to get a press pass?
Press Passes are free of charge to all press and media representatives with valid and current credentials. Press Passes provide access to any stream of the 3 conferences, Grand Opening session and panel discussions, coffee breaks, buffet lunches and the conference proceedings. All press and media representatives must register their interest in attending the event.

Will badges be posted in advance of the event?
No, badges are not posted out in advance of the event. You may pick up your badge at the Event Welcome Desk.

When do I pick up my badge?
You can pick up your badge either on Sept. 22 or Sept.23.

Travel and Accommodation questions

Where does the Smart Event take place?
The Smart Event takes place at the Agora Einstein Conference Centre, located on the Europe's leading international technology park of Sophia Antipolis, French Riviera. Sophia Antipolis tech park is located between Nice (25km/16 miles) and Cannes (19km/12 miles)

What is the nearest airport?

The nearest airport is Nice International Airport, at 30 minutes away by car or taxi from Agora Einstein venue.

How to reach the event venue from Nice International Airport?

From Nice Airport, by taxi, car or public bus line 230. Please check the “Useful information” section for more detailed information.

Are there special rates for Smart Event delegates at hotels?

We have blocked rooms in 6 hotels located on the tech park of Sophia Antipolis, offering a variety of accommodation prices to suit all budgets. Special rates have been negociated at these hotels. Please check the “Useful information” section for the list and for more detailed information.

How to reach the event venue from the hotels?

There is one “event” bus that picks up the delegates at the hotels on mornings and way back. Please check carefully the list of these hotels, the meeting point and picking up hour at the Useful Information / Accommodation section

Is there parking near the Event venue?

There are public parking facilities near the venue (free).   

Is there a taxi station near the Event venue?
There is a taxi station, facing the event venue. You have the liberty to book your taxi by phoning one taxi company located in Sophia Antipolis (recommended on the last morning day). Do not hesitate to ask for the list of taxi companies at the Event Welcome Desk.

When do I book my hotel room?

We recommend that you book your hotel room at the soonest (June July). First arrived, first served!
